Privacy Policy
Effective date: November 2, 2026
This Privacy Policy explains how DFW Permit Leads LLC ("DFW Permit Leads," "we," "us" or "our") collects, uses, shares and protects information when you visit dfwpermitleads.com, create an account, subscribe, or receive our emails or text messages (together, the "Service"). By using the Service, you agree to this Privacy Policy and our Terms of Service. If you do not agree, do not use the Service.
1. Who this policy covers
This policy applies to visitors, account holders and subscribers of the Service. The Service is a business-to-business tool for contractors and other construction professionals and is intended only for people 18 or older acting for a business purpose. It does not apply to third-party websites or services we link to, which have their own policies.
2. Information we collect
Information you give us
- Account details: name, email address, password (stored only in encrypted, hashed form), business name, and the trades, cities, ZIP codes and other alert preferences you choose.
- Phone number: collected when you verify your phone to start a trial or paid plan, and if you choose to receive text alerts.
- Billing details: payments are processed by Stripe. We do not receive or store your full card number; we receive limited details from Stripe such as your plan, billing status, the last four digits and expiration of your card, and a card fingerprint used to prevent duplicate trials.
- Communications: messages you send us, survey or feedback responses, waitlist information, and the job status, notes and "won job" values you record in your dashboard.
Information collected automatically
- Device and usage data: IP address, browser and device type, pages viewed, leads viewed, searches, exports, login times, and the devices signed in to your account.
- Email engagement data: whether our emails are delivered, opened, or their links clicked.
- Security data: bot-detection signals from Cloudflare Turnstile and records used to detect fraud, abuse, account sharing or unauthorized redistribution of data.
Information from public and third-party sources
- Public records: building permit data published by cities and other government bodies, and professional license and business registration records published by Texas state agencies. These records can include names, business names and property addresses of contractors and property owners (see Section 6).
- Service providers: limited information from providers that help us run the Service, such as payment status from Stripe and delivery status from our email and text providers.
3. How we use information
We use information to:
- Create and manage your account, verify your email and phone, and provide the leads, alerts, dashboard and exports you request.
- Match public permit records to your filters and send alerts and digests.
- Process payments, trials, refunds and subscription changes, and enforce plan limits.
- Send service messages, such as verification codes, receipts, billing notices, security alerts and changes to our terms.
- Send marketing emails about our own Service, which you can opt out of at any time.
- Prevent and investigate fraud, abuse, chargebacks, account sharing, scraping, and violations of our Terms of Service, including by placing unique markers in exports and alerts that let us identify the account a leaked copy came from.
- Measure and improve the Service, fix problems, and develop new features.
- Comply with law, respond to lawful requests, and protect the rights, safety and property of our users, the public and DFW Permit Leads.
We do not use your information to make decisions that produce legal or similarly significant effects about you based solely on automated processing.
4. How we share information
We do not sell your personal information, and we do not share it for third-party advertising. We share information only as follows:
- Service providers that process information on our behalf, under contracts that limit their use of it to providing services to us: Replit (website and database hosting), Stripe (payments and billing), Resend (email delivery), Twilio (phone verification and text messages), and Cloudflare (domain, security and bot protection).
- Legal and safety: when we believe in good faith that disclosure is required by law, subpoena or court order, or is necessary to protect the rights, property or safety of DFW Permit Leads, our users or others, including to investigate fraud, chargebacks or misuse of our data.
- Business transfers: in connection with a merger, sale, financing, reorganization or sale of assets, in which case your information may transfer to the new owner, who must honor this policy for information collected under it.
- With your direction: when you ask us to share information, for example by connecting another service.
We may share aggregated or de-identified information that cannot reasonably be used to identify you, such as total permit counts by ZIP code.
5. Text messages and emails
- Verification texts: when you enter your phone number to verify it, you agree to receive a one-time verification code by text message. Message and data rates may apply.
- Text alerts (if offered on your plan): sent only if you opt in. Message frequency varies with permit activity. Reply STOP to cancel at any time and HELP for help. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
- No sharing of mobile information: we do not sell, rent or share your mobile phone number or text-messaging consent with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data is never shared with anyone except the providers that deliver our messages.
- Emails: we send service emails (verification, alerts you request, receipts, billing and security notices), which you cannot opt out of while you have an account, and marketing emails about our Service, which you can stop at any time with the unsubscribe link in each one. Opting out of marketing does not stop service emails or the alerts you've set up.
6. Public records and information about others
The Service compiles information that government bodies publish as public records, such as building permits, professional licenses and business registrations. These records may include names, business names and property addresses of contractors and property owners who are not our users.
- We collect this information from official public sources and present it as published, organized for business use. We do not guarantee that public records are accurate, complete or current.
- Subscribers may use it only as permitted by our Terms of Service and applicable law, including the CAN-SPAM Act, the Telephone Consumer Protection Act and Do-Not-Call rules. Subscribers are solely responsible for how they contact anyone they find through the Service.
- If you appear in a record on the Service and believe it is inaccurate, or you would like to ask us to stop displaying your information, contact privacy@dfwpermitleads.com. We will review requests in good faith and may correct, suppress or retain information as allowed or required by law. Correcting the original public record must be done with the government office that published it.
- We may also use public business and license records to contact businesses about our own Service. Every such email includes an unsubscribe link, and we honor opt-outs.
7. Cookies and similar technologies
We use cookies and similar technologies that are necessary to run the Service: keeping you signed in, remembering your preferences, protecting forms from bots (Cloudflare Turnstile), and preventing fraud. Our emails may contain small images or tracked links that tell us whether an email was opened or a link was clicked. We do not use third-party advertising cookies or sell browsing data. You can block cookies in your browser, but parts of the Service, including sign-in, will not work without them. Because there is no common standard for browser "Do Not Track" signals, we do not respond to them.
8. How long we keep information
We keep information only as long as needed for the purposes in this policy:
- Account and alert settings: while your account is open, then deleted or de-identified within 90 days of closure, except as below.
- Billing, refund and tax records: as long as required by tax and accounting law (generally up to 7 years).
- Security, login, lead-view and export logs: up to 12 months, longer if needed for an open fraud, dispute or legal matter.
- Unsubscribe, opt-out and suppression lists: indefinitely, so we keep honoring your choice.
- Records related to fraud, chargebacks, bans or legal claims: until the matter is resolved and any applicable limitation period ends.
Public records data is kept for as long as it is useful to the Service.
9. Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS), hashed passwords, limited access to data, and reputable service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Keep your password confidential; you are responsible for activity under your account. If we learn of a security breach affecting your personal information, we will notify you and the appropriate authorities as required by law.
10. Your choices and rights
Regardless of where you live, you may ask us to:
- Access the personal information we hold about you and receive a copy in a portable format.
- Correct inaccurate information.
- Delete your personal information, subject to the exceptions in Section 8.
- Stop marketing: use the unsubscribe link in any marketing email or reply STOP to texts.
You can update most account details and alert settings yourself in your dashboard. To make any other request, email privacy@dfwpermitleads.com from the email on your account. We will verify your identity before acting, respond within 45 days (or tell you if we need up to 45 more days and why), and will not discriminate against you for exercising these rights. If we decline your request, you may appeal by replying to our decision within 60 days; we will respond to appeals within 60 days. If your appeal is denied, you may contact the Texas Attorney General.
We do not sell personal information, use it for targeted advertising, or use it for profiling that produces legal or similarly significant effects. Where we rely on your consent, you may withdraw it at any time; this does not affect processing that already took place.
11. Children
The Service is not directed to children and is intended only for adults 18 or older acting for a business. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, contact us and we will delete it.
12. Where information is processed
The Service is operated from Texas, and information is stored and processed in the United States. The Service is intended for users in the United States.
13. Changes to this policy
We may update this policy from time to time. We will post the new version with a new effective date. For material changes, we will also notify account holders by email or a notice in the Service at least 14 days before the change takes effect, unless a shorter time is required by law or for security. Continuing to use the Service after the effective date means you accept the updated policy.
